Uniting Aged Care – Planned Preventative Maintenance
The Uniting Aged Care facility spans four interconnected buildings across approximately 22,000 square metres, accommodating 500–600 residents and staff. Operating in a live environment, the site demands careful coordination and a commitment to exceptional service to minimise disruption to patrons.
With such a large and complex facility, electrical reliability is critical. Protex provides a comprehensive planned preventative maintenance program (PPM) designed to ensure rapid response times, proactive upkeep, and efficient resolution of issues as a matter of urgency.
Establishing a Clear Baseline
Comprehensive Site Audit & Asset Register
Upon site handover, Protex conducted a multi-day electrical audit led by two senior technicians. Every electrical asset — including main switchboards, distribution boards, solar systems, interior and exterior lighting, power outlets, hot water systems, hand dryers, exhaust fans, ceiling fans, and control devices — was catalogued into a detailed asset register. Each item was recorded in our job management system, assigned a unique barcode and asset number, and supported with location details, images, and descriptions for easy identification. Assets were then categorised, and a tailored maintenance schedule was created in line with all relevant legislation, standards, and client requirements. We also reviewed and updated the facility’s electrical schematics and schedules, ensuring they accurately reflected the current infrastructure.
Preventative Maintenance in Action
Structured Maintenance Schedule & Ongoing Compliance
Based on the audit findings, Protex developed a monthly, quarterly, half-yearly, and annual maintenance schedule for all electrical assets. Each service activity is carried out in strict compliance with Australian Standards, electrical codes, and WHS legislation. Our WHS Manager continually monitors regulatory updates and coordinates training for all relevant staff whenever standards or codes are amended. These updates are documented, implemented, and reviewed regularly to maintain best-in-class compliance across every aspect of our operations.

Each time an asset is serviced, our technicians record the work, results, and outcomes directly against the asset in our system. This ensures a complete, traceable maintenance history. Through our client portal, Uniting’s management team can easily monitor asset performance, view maintenance reports, access quotes, invoices, and service records — providing full transparency and control over their electrical infrastructure.

After every inspection or maintenance task, a detailed report is prepared outlining all works completed, test results, any non-compliance issues, and recommended corrective actions. If faults are identified, a quote is issued for approval before remedial work begins.

Supervisors then review and, if necessary, update electrical schematics and schedules, ensuring all documentation remains current. These reports and records not only demonstrate compliance but also form the foundation for ongoing preventative maintenance and asset optimisation.
