Uniting Aged Care
Planned Preventative Maintenance (PPM)

Uniting Aged Care is a multi-building facility, 4 buildings total, with 500-600 patrons and is approximately 22,000 square meters. They require a high level of coordination and industry leading customer service to ensure minimum disruption to patrons. The electrical equipment is critical, so response times are short, and issues are rectified as a matter of urgency.

1. Site Audit

Upon site handover, we completed a thorough site audit of all electrical equipment. This was a multi-day site audit conducted by two technicians and included the creation of an asset register for all appliances, main switch boards and distribution boards, CD’s, solar systems, interior and exterior lights, power outlets, hot water services, hand dryers, exhaust fans, and ceiling fans. This was then recorded and lodged in our system and given a unique asset number and barcode. This record includes location, images, and a brief description for easy identification. Assets were then categorised and a maintenance schedule was designed in line with all applicable legislation, acts, codes, and standards. We also reviewed the facilities electrical schematics and schedules to ensure they were up to date and represented the existing infrastructure.

2. Creation of Maintenance Schedule

We then develop a monthly, quarterly, half yearly and annual planned maintenance schedule for all assets. All electrical assets are maintained in line with all applicable legislation, acts, codes, and standards. Our WHS manager stays abreast of any updates made to these and when updates are made, we engage all stakeholders in the business in training to ensure we meet these amendments/updates. This training is documented, executed by all stakeholders in the business with review dates set.

3. Test & Maintain Assets

Every time an asset is maintained, a record is kept against the asset in our system specifying the results and any work that was conducted against this asset. Our clients are given access to our customer portal allowing management to monitor and refer to this asset register. Clients can also access jobs, quotes, invoices, and reports through this portal.

Maintenance Report & Record Keeping

Upon completion of every inspection, relamping and minor corrective works, our technician completes a maintenance report recording all electrical maintenance activities that were conducted, including inspections, tests, and any repairs or replacements conducted. Also including any non- compliance and rectification issues with proposed remediation actions.

If faulty electrical assets are identified, this is included in the maintenance report with a quote provided prior to any remediation works commencing. This also applies to any work not within the guidelines of maintenance. The asset register is then updated, and the maintenance report is registered in our system and this report along with quote is sent to the client. These records are vital in tracking the history of maintenance to show compliance with regulations.

The supervisor then reviews the electrical schematics and schedules, and makes any amendments required prior to sending the updated schematics and schedules to the client along with the maintenance report.
